Secure Data Access AI Agent

Most businesses have a lot of useful data sitting in their systems. But getting to that data usually means waiting for someone to pull a report, log into a dashboard, or send an email. That's slow and frustrating.

I built a system where anyone with the right access can simply send a WhatsApp message or email saying something like 'Show me this month's sales' and get the answer back in seconds. No waiting. No dashboards. No back and forth. The system checks who the person is, makes sure they're allowed to see that data, and then sends them exactly what they asked for.

Project Research

The biggest challenge here was making it both easy to use and safe. If someone is asking for business data over WhatsApp, we need to make sure the wrong person can't just ask and get it.

So for WhatsApp, the system asks for a PIN before giving any data. That PIN session expires after a while so it can't be misused later. For email, the identity is already confirmed by the email address itself, so no PIN is needed. Each person can only see the data they're supposed to see, nothing more.

Project Results

After this system went live, the team stopped receiving 45% of the manual data requests they used to get every day. What used to take 4 hours now takes less than 15 seconds.

Most people used WhatsApp to ask their questions, about 73% of all requests came through there. The team got back around 18 hours every week that they used to spend pulling reports manually. People rated the system 4.7 out of 5 and said they preferred asking questions in plain language over using complicated dashboards.
